If your company does not use a background check provider integrated with Drata, you can manually upload or link evidence showing that a background check was completed for an employee.

Prerequisites
You must be an administrator or information security lead in Drata to perform this action.
Upload proof of a background check for your employee
You can store your background check documentation in a secure file storage system (such as Google Drive, Dropbox, or an internal document repository) and link directly to those documents from Drata.
When adding a background check in Drata, you provide a URL to the location of the evidence.
Follow these steps to link background check evidence for an employee:
Log in to Drata.
Navigate to the Personnel page.
Select the employee you want to update.
In the Personnel Detail drawer, select upload for Last Background Check Report Completion Date.
In the Add Background Check modal, complete the required fields:
Location of the background check: Enter a URL (for example, Google Drive or Dropbox) or upload evidence directly. The link must be accessible to Drata administrators and, where required by law, the employee.
When was the background check conducted: Enter the date the background check was completed.
Save your changes.
Once saved, the linked evidence will be associated with the employee for audit and compliance review.
What you can link as proof
For the Location of the background check field, you can link to documentation that demonstrates a background check was completed.
Policy documents (process documentation)
You may provide a URL to a policy document that explains how and when background checks are performed, such as:
a Background Check or Employment Screening Policy,
an Employee Handbook, or
a Hiring or Onboarding policy.
Policies document your background check process, but auditors typically expect additional evidence showing that a background check was completed for an individual.
Employee lists with completion details
You may provide a URL to a list of employees whose background checks were completed. This is commonly stored as a spreadsheet and should include only necessary information, such as:
employee ID or initials (avoid full names),
job title or department,
background check completion date, and
background check provider used.
Employee lists are often used alongside other supporting evidence.
Third-party background check reports
You may provide a URL to reports, screenshots, or certificates from a background screening provider that show:
the background check was completed,
the completion date, and
a pass/fail or completion status.
This is typically the most direct and verifiable form of evidence.
Attestation forms (manual processes)
If your organization performs background checks using manual processes, you may provide a URL to a signed attestation confirming that the check was completed.
Attestations are commonly used when third-party reports are not available.
Compliance guidelines and best practices
Ensure appropriate access
The URL must be accessible to Drata administrators.
Employee access applies only where required by law.
Redact sensitive information
Do not link to documents containing unnecessary sensitive personal data, such as:
Social Security numbers,
dates of birth, or
full legal names when not required.
Auditors typically look for evidence that shows:
the type of background check performed,
the date the check was completed, and
the provider or method used.
