HERE'S WHY

Connecting Microsoft Teams allows you to notify channels about Not Ready Controls as well as personnel with pending compliance tasks.

BEFORE DIVING IN

Please make sure you've installed the Drata app in your Microsoft Teams tenant. To learn more about installing Microsoft Teams apps, click here.

HERE'S HOW

Connecting Microsoft Teams to Drata

  • Navigate to the Drata portal and log in

  • In the bottom left of your screen, click on your company's logo and select 'Connections’

  • Scroll down until you get to the ‘Communication’ section -> ‘Microsoft Teams’ -> Click on ‘Connect’

  • You will need your Microsoft Team URL to proceed. To get to Team URL please follow these steps:

    • Open Microsoft Teams

    • Navigate to the Team you want your notification to be sent to

    • On the left hand side, click the triple dot menu next to the Team name

    • Click get link to team and copy the url

  • Back in Drata paste in Microsoft Team URL in the Microsoft Teams connection Drawer and Click on Connect your Microsoft Teams workspace

Setting up Notifications

Control Notification allows you to be notified if control(s) are not ready. To set up control notification, click on your Account Name and select 'Settings’

On the settings page click the Notifications link

If you have multiple workspaces please select workspace you want by clicking manage notifications in:

At the top right, click on ‘+ New Notification’

Adding Channels

Our Microsoft Teams app was designed with least permissions in mind. For this reason, you copy the channel URLs to which you wish to send notifications.

We recommended obtaining the channel URL from a browser and not the app, but we have included steps for both options below.

To copy the channel URL from the browser:

  • Log in into Microsoft Teams

  • Create or find the channel you want to link to your notifications

  • Open the channel by tapping or clicking on it

  • Copy the browser URL

  • Paste this URL into the Destination section

To copy the channel URL from within the app:

  • Navigate to the channel in Microsoft Teams

  • Open the channel menu at the top right

  • Click ‘Get link to channel,’ then click ‘Copy’

  • Paste this URL into the Destination section

Setting up a Control Notification

Control Notification allows you to be notified if control(s) are not ready.

  • Click ‘Select Controls’ in the top Notification section

  • Select the controls you wish to monitor

  • Click ‘Save’

  • Copy the Channel URLs you wish to notify, see above for Adding Channels

  • Select your desired frequency
    Note: with daily frequency, notifications are sent at 6am PT every day including weekends and with weekly, notifications are sent on Monday's at 6am PT

  • Click on ‘Schedule Notification’

Setting up a Personnel Notification

Personnel Notification allows you to be notified about employee(s) with pending tasks.

  • Click ‘Personnel with Pending Tasks’ in the top Notification section

  • Copy the Channel URLs you wish to notify, see above for Adding Channels

  • Select your desired frequency
    Note: with daily frequency, notifications are sent at 6am PT every day including weekends and with weekly, notifications are sent on Monday's at 6am PT

  • Click on ‘Schedule Notification’

Setting up a Test Notification

Test error notifications allow you to be notified about tests with an ‘Error’ result. Tests with an ‘Error’ result require resolution to be restored in order for the test to be conducted properly.

  • Under the Company Settings, go to ‘Notifications’

  • If you have multiple workspaces, select your workspace by checking Manage Notifications

  • At the top right, click on ‘+ New Notification’

  • For notification type, select 'Tests with an Error result’'

  • Copy the Channel URLs you wish to notify, see above for Adding Channels

  • Select your desired frequency
    Note: For daily frequency, notifications are sent at 6am PT every day including weekends and for weekly, they are sent on Monday's at 6am PT

  • Click on ‘Schedule Notification’

Editing an existing notification

  • Within 'Company Notifications’ locate the notification you wish to edit

  • Click on the Edit icon on the right side of the table
    Note: With edit, you can only edit channels and frequency

Disabling / Enabling an existing notification

  • Within 'Company Notifications’ locate the notification you wish to edit

  • Click the toggle at the left side of the row to Disable / Enable the notification

Deleting an existing notification

  • Within 'Company Notifications’ locate the notification you wish to edit

  • Click on the Delete icon on the right side of the table

  • Confirm your deletion
