Reset recurring personnel trainings

Reset configure recurring reset schedules. Some trainings must be completed on a recurring basis (such as Security Awareness, HIPAA, or AI Awareness) to maintain compliance and demonstrate ongoing security awareness.

How training resets work

Drata tracks training completion as part of personnel compliance. When a training is reset:

  • The previous completion record remains visible for audit history

  • The training requirement is marked as incomplete

  • Related compliance checks fail until the training is completed again

You can reset trainings manually or schedule them to reset automatically on a recurring basis.

Schedule training resets

You can schedule and configure recurring training resets from Personnel Compliance settings.

  1. Open Settings page.

  2. Select Personnel Compliance.

  3. Select the Training tab.

From this page, you can configure how each training (Security Awareness, HIPAA, or AI Awareness) is delivered and whether it resets automatically.

  1. Locate the desired training section.

  2. Select the method you would like to use to conduct trainings for your personnel.

  3. Enable Schedule recurring training resets and then choose when to reset the training.

    • Reset 12 months after each personnel's last completion date: Drata resets the training for each person based on when they last completed it. Personnel who completed the training more than 12 months ago are immediately reset after you save this configuration.

    • Reset on the same date each year for all personnel: Drata resets the training for all personnel on the selected date.

Important note (reset based on each person's last completion date)

Turning on recurring resets can cause some trainings to reset immediately. This happens if a person's last training completion already exceeds the selected timeframe. Once a training is reset, the person must complete it again.

Reset training manually

You can manually reset training for all personnel or selected personnel.

  1. Open Personnel page.

  2. Select one or more people.

  3. Select More > Reset Security Training, Reset HIPAA Training, or Reset AI Awareness Training.

  4. Confirm the action.

The reset option that appears depends on the training you've configured in Personnel Compliance settings.

What happens after a training reset

After a training is reset:

  • The training displays as Incomplete on the Personnel page

  • The training displays as Incomplete in My Drata onboarding

  • Related compliance checks fail until the training is completed again

Personnel can complete the training again or upload evidence, depending on your Personnel Compliance configuration.

Reset Security Awareness Training

HERE'S WHY

There are some tasks that need to be completed every 12 months to ensure your company maintains its security posture. One such annual task is for employees/contractors to complete the Security Awareness Training. In order to do this, the completed training must be reset and Drata gives you the flexibility to do this on your timeline. You can apply this reset individually or in bulk through the action menu.

Only account administrators or information security leads have access to this functionality.

HERE'S HOW

Completed security awareness training can be reset for all personnel, bulk for a subset of personnel individually, or individually.

In all three cases, you will be prompted to confirm your choice as this reset action cannot be undone. Once confirmed, the completed Security Awareness Training will be reset and the compliance check on the Personnel table, in the Personnel Detail drawer, and in the My Drata employee onboarding will display as 'Incomplete' or 'Failed'.

All current personnel

Learn how to reset the completed Security Awareness Training for all current personnel.

From the Personnel page, select the 'Actions' button and select 'Reset Security Training'. Ensure that no checkboxes are checked for any individual Personnel rows.

Bulk for a subset of personnel

Learn how to reset the completed Security Awareness Training in bulk for a subset of personnel.

From the Personnel page, select the checkbox on the left-hand column for each desired personnel. After selecting the list of personnel, select the 'Actions' button and select 'Reset security training.'

Individual current or former personnel

Learn how to reset completed Security Awareness Training for individual current or former personnel.

From the Personnel page, select an individual to open the Personnel Detail drawer. Select the ellipse (the three-dot icon) and select 'Reset Security Training'.

From this point, employees will be able to retake their Security Awareness Training or upload evidence, depending on which option was selected in the 'Internal Security' settings.

Past evidence of security training completion will remain visible in each user's Personnel drawer. But, since this evidence of completion has now been reset (i.e. the expiration date has been set to today), it can no longer serve to count for passing the compliance check.

Reset HIPAA Training

Personnel should complete HIPAA Training annually in order to satisfy specific requirements within the HIPAA framework. Configuring this training within Drata is a key step to addressing the associated control. In order to do this on an annual basis, the training must be reset each year and Drata gives you the flexibility to do this on your timeline, either for all current personnel or on an individual basis.

Reset HIPAA Training for all current personnel (employees and contractors)

From the Personnel page, click the 'Actions' button and select 'Reset HIPAA Training'. You will be prompted to confirm this action before any change is made.

Reset HIPAA Training for individual current and former personnel

From the 'Personnel Page', select an individual to open the Personnel Detail drawer.

Click the three-dot icon to open the menu and select 'Reset HIPAA Training'.

In both cases, you will be prompted to confirm your choice. Once confirmed, the HIPAA Training will be reset and the compliance check on the Personnel table, in the Personnel Detail drawer, and in the My Drata employee onboarding will display as 'Incomplete' or 'Failed'.

From this point, employees will be able to retain their HIPAA Training or upload evidence, depending on which option was selected in the 'Internal Security' settings.

Schedule resets for recurring trainings

Recurring training can be scheduled to automatically reset. Some training (such as Security Awareness, HIPAA, AI) should be completed annually to ensure your company maintains its security posture. To do this, the previous record of completed training must be reset.

BEFORE DIVING IN

  • Only Admins have access to the Drata's Internal Security Settings page to configure the automatic reset for training.

  • You can also perform a manual reset from the Personnel page at any time.

  • Resetting a completed training will fail the compliance check because personnel must complete trainings to pass the compliance check.

Scheduled resets overview

Note: When scheduling a reset, ensure that you are selecting the desired timeline. Once a personnel's status for a completion of a training is reset, the status cannot be reverted.

  1. Go to the Internal Security page under Settings page.

  2. Under the desired training, enable "Schedule recurring training resets", select when to reset the training, and save changes.

    • Reset 12 months after each personnel's last complete date: Dynamically reset each of your personnel's training completion 12 months after their unique completion date.

    • Reset on the same date each year for all personnel: Resets any previous training completions for all personnel on the date you select.

Reset AI Awareness training

Personnel should complete the AI Awareness training as a part of NIST AI RMF Training annually in order to satisfy specific requirements within the NIST AI RMF framework. To learn more about NIST AI RMF Training, go to our NIST AI RMF Training help article.

In order to do this on an annual basis, the training must be reset each year. You can either reset the training for all current personnel or for individual current or former personnel.

Reset for all current personnel

From the Personnel page, select the Action button and select Reset AI Awareness Training. You will be prompted to confirm this action before any change is made.

Reset for individual personnel

From the Personnel Page, select an individual to access the Personnel Detail drawer.

Select the ellipse to open the menu where you can select Reset AI Awareness Training. You will be prompted to confirm this action before any change is made.

Result of resetting AI Awareness Training

Once confirmed, the AI Awareness Training will be reset and multiple places in Drata will reflect that the personnel has not completed their AI Awareness training. The Personnel table, the Personal Details drawer, and My Drata onboarding will display a failing icon with a short description of why it is failing.

There are multiple options for how you would like to handle AI Awareness training for your personnel in Internal Security settings. Verify the options you selected and a personnel must follow what you selected in order to maintain AI Awareness training.
