Making the initial connection to Justworks

HERE'S WHY

Connecting Justworks to Drata allows for automated checks and evidence collection to provide details on personnel hire and separation dates as well as their employment status.

BEFORE DIVING IN

  • Make sure you have admin access to your company's Justworks account.

  • If you had previously connected Justworks with username and password credentials, these will expire every 90 days. You will need to return to Drata and edit the connection in order to refresh your admin credentials. We recommend you follow the below steps to set up a service account to avoid this 90-day reset requirement.

HERE'S HOW

Follow these instructions to connect Justworks to Drata:

1. Click on your company's name in the lower left corner.

2. Click "Connections" from that menu.

3. Click the "Connect" button for the Justworks integration.

The slide-out panel will provide step-by-step instructions (see the image below).

Create a Service Account

Follow the below steps in Justworks to create a service account. Then, return to Drata to provide the service user details in the connection modal.

  1. On the Justworks Landing Page, navigate to the "Employees" section under "Manage" to add the Service Account.

  2. Click "Add" on the top right hand corner of the screen to create a new Employee.

  3. After you click "Add", please navigate to the bottom of the screen to "Add third party or temp". Expand this section, and click "Add 3rd-party".

  4. Now you will need to add the information to create the Employee that will be leveraged for the Service Account integrations.

    1. First, you will use the Name + Email within the connection modal to populate First Name, Last Name, and work email.

    2. Next, fill out these fields in the Employee record:

      1. Member Type: 3rd Party Admin / Accountant

      2. Admin Access: Yes

      3. First Name: Merge

      4. Last Name: Service Account

      5. Title: Service Account

      6. Manager: can be empty

      7. Department: "No Department" + can be empty

      8. Office: "Remote" + can be empty

      9. Work Email: *Input email provided in Merge Link*

      10. Send Invitation to: Work Email, Now

    3. Note 1: If you are transitioning your Justworks account from a previous authentication process, you will have to re-open the connection modal to access the work email. This email address won't be found in Justworks.

    4. Note 2: Leave Personal / Home Email blank. This field will be updated automatically with another generated email after the Service Account is created.

  5. Once completed, press "Invite <employee first name>".

  6. Once you invite this account, you will need to confirm the Service Account's permissions. Please note that the Service Account needs be an "Admin", with the below permissions. Our integration requires ALL of the below permissions to be applied to the Service Account - the integration will not complete if the Service Account is not an Admin, or does not have the below permissions enabled.

    1. Edit Company Settings

      1. This is required for our integration to view Company Information, Office Information + Location, and Department Information. Although Drata only will be viewing this information, Justworks requires EDIT Access in order to view this information, but Drata will not actually be editing any settings.

    2. Manage Employees

      1. This is required to view Employee Information, and access the Employee Census Report and the Work History Report.

    3. View all employee information

      1. This is required to view Employee Information, and access the Employee Census Report and the Work History Report.

    4. View basic employee information

      1. This is required to view Employee Information, and access the Employee Census Report and the Work History Report.

    5. Upload and View all Documents

      1. This is required to access the Employee Census Report and Work History Report.

    6. View Invoices and Reporting

      1. This is required to access the Employee Census Report and Work History Report.

Justworks has set these requirements for the Service Account creation flow + Permissions. These will allow for a secure and seamless integration once set up.
